What GPSR documents does Amazon require in Seller Central?

Amazon manages GPSR compliance through its «Manage your Compliance» dashboard in Seller Central, accessible via Performance > Account Health > Regulatory Compliance. The dashboard groups your ASINs by brand and flags those with outstanding compliance requirements. There are three categories of information that Amazon requires for each affected ASIN across each EU marketplace where you sell.

The first category is responsible person information: the full name or company name, complete postal address, and email address of the EU Responsible Person. If your business is based in the EU, you enter your own details. If not, you enter those of your designated EU representative. This information can be submitted at brand level, which applies it to all ASINs registered under that brand — a significant time-saver for sellers with large catalogues. The second category is manufacturer information: company name, postal address, and email of the product's manufacturer. The third category is safety documentation and warnings. Amazon accepts PDF documents (user manuals, safety sheets, instructions) up to 10 MB per file, and JPG safety images showing the product or packaging with safety warnings visible — uploaded as PS01 through PS06 image variants. All documents and images must be in the official language of the target marketplace: German for Amazon.de, French for Amazon.fr, Spanish for Amazon.es, Italian for Amazon.it, and so on. A document in English is not accepted as a substitute for any of these.

An important distinction that many sellers miss: completing the Seller Central dashboard is a necessary step for Amazon's enforcement compliance, but it does not constitute full GPSR compliance under EU law. The underlying technical file — risk assessment, Declaration of Conformity, complete documentation package — must exist independently and be available to EU market surveillance authorities within 10 days of a request. Amazon can also request this full technical file at any time. Uploading a safety image and entering a responsible person's name in Seller Central satisfies Amazon's platform requirements but does not replace the obligation to hold the full documentation under Article 9.

What the law says

Article 22 of Regulation (EU) 2023/988 obliges Amazon as an online marketplace to ensure sellers provide the Responsible Person, manufacturer, and safety information required by the GPSR. Article 19 requires this information to be displayed on the product listing before purchase — which is what Amazon's Seller Central compliance submission achieves.

Consequences of non-compliance

Incomplete Seller Central submissions result in listing deactivation, typically without advance notice. Amazon processes submissions within 7 business days and may reject them for formatting errors. Deactivation during peak sales periods (Q4, Prime Day) can mean significant revenue loss within hours.
